3.2.5 Vacation

Faculty

Departmental faculty shall normally be expected to follow work schedules that conform to the academic calendar. They do not accrue vacation days but may observe University term or holiday break periods that are designated by the President.

Administrative/Professional (AP)

Administrative Professional positions designated to follow the University's academic calendar do not have vacation benefits but instead observe University term or holiday break periods as designated by the President, such as Fall, Winter or Spring Break.  AP nonexempt positions are not eligible to follow the academic calendar.

All other continuous Administrative Professional positions (exempt and nonexempt) follow the administrative calendar and are eligible to accrue vacation at the rate of two working days per month.  Accruals and maximum levels are prorated based on percentage of appointment.

All other non-continuous Administrative Professional positions (exempt and nonexempt) follow the administrative calendar and are provided 2 days of vacation for each contract month.  Non-continuous contracts require that any vacation be used prior to the final date of the employment period or prior to the last date of employment, whichever comes first.

Civil Service (CS)

CS Nonexempt:  Civil Service nonexempt employees shall earn vacation in accordance with the following schedule:

  1. For the first, second, and third years of consecutive service, 12 work days in each year of service.
  2. For the fourth, fifth, and sixth years of consecutive service, 15 work days in each year of service.
  3. For the seventh, eighth, and ninth years of consecutive service, 18 work days in each year of service.
  4. For the tenth, eleventh, twelfth, thirteenth and fourteenth years of consecutive service, 21 work days in each year of service.
  5. For the fifteenth year and beyond, 25 work days in each year of service.

CS Exempt:  Civil Service exempt employees shall earn vacation in accordance with the following schedule:

  1. For the first, second, and third years of consecutive service, 25 work days in each year of service.
  2. For the fourth, fifth, and sixth years of consecutive service, 26 work days in each year of service.
  3. For the seventh, eighth, and ninth years of consecutive service, 27 work days in each year of service.
  4. For the tenth year and beyond, 28 work days in each year of service.

Escrow Vacation

Vacation Escrow is allowed in two circumstances:

  1. An employee whose position changes from a continuous vacation-accruing position to a position that is not eligible for continuous vacation shall have all vacation hours placed in escrow at the time of the change in employment. These hours will remain in escrow (unable to be used) until the employee returns to a continuous vacation-accruing position, takes an approved leave of absence which requires benefit time usage in order to remain in a paid status, or terminates service with the University.
  2. An employee whose appointment FTE (full-time equivalent) is reduced shall have all continuous vacation hours in excess of the maximum allowed for the new appointment placed in escrow following the reduction in FTE. These hours will remain in escrow (unable to be used) until the appointment level is returned to its original FTE, the employee takes an approved leave of absence which requires benefit time usage in order to remain in a paid status, or the employee terminates service with the University.

Vacation Payout

Pay in lieu of vacation will not be allowed except upon termination of service with the University per Policy 3.1.27 Pay Out Procedures.
